Booking Events through the OCE

As part of the processes established on campus, faculty and staff are asked to book their community events* on campus through the OCE. To get started, send an event request to [email protected] or complete the following form.

It is critical to book your events through the OCE. The OCE acts as a single point of contact for all of your event needs, responsible for:

  • Making room and reservations and adjusting those reservations to your final count.
  • Coordinating your catering, IT, and special services needs, as well as other needed logistics with M&O (room set-up, tables, chairs, etc.)
  • Arranging bus rentals.
  • Publicizing your event with content provided by you.
  • Soliciting student help for your event through the office's list of students with clearances.
  • Providing you with and procuring the documents required by the University for holding events on campus. 
  • Other logistics — please inquire about other logistics that may not be listed here.

         
*Community events are defined as, but not limited to, the following:

  • Events in which more than one class, department, or the entire campus are invited to attend, AND that invite any members of the off campus community.
  • Academic festivals, competitions, and conferences.
  • Health and Wellness, and other types of informational fairs.
  • Voting events.
  • Speakers and/or artist visits to campus (and receptions for those guests). Requires contract.**
  • Camps – summer camps, weekend camps, etc.
  • Outside theatrical performances and other entertainment groups. 
  • Art shows.
  • Meetings with or for outside organizations of which you may be a member (or not).

**Guest Speaker Contracts

If you are bringing a paid guest speaker to campus, you will need to complete a contract. Instructions for establishing a new contract can be found online, and the speaker contract is located in Guru.
